Website: www.bespokeleisure.co.uk

Last updated: 26 October 2026

This privacy policy explains how Bespoke Leisure collects, uses, stores and shares personal information when you visit our website, contact us or make an enquiry about our campervans, products or services. It also explains your choices and data protection rights.

1. Who we are and how to contact us

O B SPOKE SERVICES LTD (company number NI607104), trading as Bespoke Leisure, is the controller responsible for the personal information covered by this policy. A controller decides why and how personal information is used.

For privacy questions or to exercise your rights, contact us at sales@bespokeni.com, call +44 (0) 28 2564 9494, or write to Bespoke Leisure, 30 Woodside Road, Ballymena, Co. Antrim, Northern Ireland, BT42 4HX. Please mark written enquiries for the attention of the person responsible for data protection.

2. The information we collect

Information you give us may include your name, email address, telephone number, city, postcode, the contents of your enquiry and any product preferences or other details you choose to provide. We also keep correspondence and records of how we respond to and manage your enquiry.

When you use our website, we and our service providers may collect technical information such as your IP address, browser and device details, pages visited, interaction data and security logs. Where you consent to the relevant tracking, this may include referral sources, campaign parameters, advertising click identifiers and cookie or similar identifiers. We also record your cookie and communication preferences.

We collect information directly from you through website forms, email, telephone and other communications, and automatically through website technologies. A participating dealer may also give us information needed to follow up an enquiry you have made or which we have referred to them.

Please only provide information needed for your enquiry. Our enquiry forms are not intended to collect sensitive information, such as health information, or payment card details. Providing enquiry information is voluntary, but we may be unable to respond or arrange a requested service without the necessary contact details.

3. How we use information and our lawful bases

We use personal information only where we have a lawful basis under UK data protection law. The basis depends on the purpose of the processing.

Responding to enquiries and arranging requested services. We use contact details, enquiry information and correspondence to answer questions, provide product information and arrange discussions or visits. Where this is necessary to take steps at your request before entering a contract with us, or to perform that contract, we rely on contract. For other enquiries, we rely on our legitimate interest in communicating with prospective customers and managing our business.

Referring enquiries to dealers. We use and share relevant enquiry details to connect you with an appropriate participating dealer. We rely on our legitimate interests in helping customers find suitable products and enabling our dealer network to respond to enquiries. Where the referral is necessary to take steps at your request towards a contract with us, we rely on contract instead. We consider your interests and reasonable expectations when making referrals.

Operating and protecting the website. We use technical information and necessary records to administer the website, maintain security, prevent misuse, troubleshoot faults and manage enquiries. We rely on our legitimate interests in providing a secure, reliable website and business service. Where a specific legal requirement applies, we rely on legal obligation.

Analytics, attribution and advertising. We use information to understand website activity, measure campaigns, link marketing activity to enquiries and support relevant advertising or remarketing. We rely on consent for the optional analytics and advertising tracking described below, including associated use of personal information.

Marketing communications. Where we send promotional emails or texts, we obtain consent unless an applicable legal exception permits us to contact you. Where we use that exception, we rely on our legitimate interest in promoting relevant products and services and provide an opt-out when collecting your details and in each message. Responding to an enquiry does not automatically subscribe you to promotional communications.

Legal and business records. We retain and use records where necessary to meet legal obligations, including applicable accounting requirements. We rely on legitimate interests where necessary to establish, exercise or defend legal claims.

4. Sharing information with dealers and service providers

We share only information relevant to the purpose concerned. This may include sharing your name, contact details, location, product interests and enquiry with an appropriate participating dealer so they can contact you, provide information and manage a potential sale. We explain the referral when arranging it. A dealer may act as an independent controller for its own sales and customer activities; its privacy policy explains those activities and how to exercise your rights with it.

Our website runs on WordPress and uses Gravity Forms to collect enquiries. Form submissions may be stored temporarily in the website database and sent by email to the relevant recipient. Our hosting and email providers may hold information in live systems and backups. WordPress and Gravity Forms describe the website technologies; this does not itself mean that their software developers receive your enquiry.

Digital Savant Ltd, trading as Outsourced Martech, provides website management, marketing technology and technical support. Its authorised personnel may access website and enquiry information for administration, maintenance, troubleshooting and marketing performance measurement, subject to appropriate instructions and access controls.

CookieYes manages website cookie consent and visitor preferences. Where enabled on our website, Google services such as Google Analytics, Google Ads and YouTube, Meta services for Facebook and Instagram, and Microsoft Advertising may process technical, usage and advertising information for the purposes described in this policy and our Cookie Policy. Optional tracking operates subject to your consent choices. Microsoft 365 may also be used to receive, store and manage business communications and enquiries.

Some providers process information on our behalf under our instructions. Others may act as independent controllers for particular activities, as explained in their own privacy notices. We may also disclose information to professional advisers, regulators, public authorities or other recipients where required by law or necessary to protect legal rights.

5. Cookies and similar technologies

Our website uses cookies and similar technologies, including browser local storage, to support functionality, security, performance measurement and advertising. Cookies are small text files stored on your device. Local storage can also retain small amounts of information in your browser.

We use first-party technologies set through our website and, where enabled, third-party technologies provided by services such as Google. These may collect information about the pages you view, your journey through the site and your interactions with content.

Necessary technologies support essential website functions and do not require cookie consent where the relevant legal exemption applies. Under our consent settings, optional analytics and advertising technologies are disabled by default and only operate after you give consent to the relevant categories. You can reject optional categories and continue basic browsing and submit an enquiry.

CookieYes manages these choices through the cookie banner. You can update or withdraw consent at any time using the Consent Preferences link in the website footer. Withdrawal does not affect the lawfulness of processing carried out before you withdrew consent. You can also manage cookies through your browser settings, although blocking necessary cookies may affect website functions.

Our separate Cookie Policy and consent settings provide details of the cookies and storage technologies in use, their providers, purposes and durations. For information about Google’s processing, see Google’s Privacy Policy. Meta’s privacy policy is at Meta Privacy Policy and Microsoft’s privacy statement is at Microsoft Privacy Statement.

6. Attribution tracking linked to enquiries

We use a first-party attribution system to understand which marketing channels lead to enquiries. This links visit information, such as referral sources, campaign parameters and advertising click identifiers, with form submissions.

We may also use first-party cookies to retain similar attribution information and make it available to our website’s analytics systems, including Google Analytics 4, through the website’s data layer. This helps us understand website activity and measure marketing performance, subject to your consent preferences.

This attribution system only operates after you consent to both the Analytics and Advertisement cookie categories. It stores values such as gclid, utm_source and utm_medium in your browser to connect advertising activity with actions such as submitting an enquiry form.

When you submit a form, the attribution information may be associated with your enquiry and processed in the systems we use to manage enquiries and measure marketing performance. Access to the linked attribution information is limited to authorised internal marketing staff and our appointed marketing technology support provider, Digital Savant Ltd, together with service providers needed to operate those systems under appropriate controls.

This description concerns our first-party attribution system. Separately enabled analytics or advertising services may receive visit information before you submit a form, where you have consented to the relevant tracking. Submitting a form is not consent to unrelated marketing or to tracking you have rejected.

You can withdraw tracking consent through Consent Preferences. To request deletion of attribution information already linked to an enquiry, contact us using the details above. We assess deletion requests in accordance with your data protection rights.

7. International transfers

Some technology providers may store information, provide support or otherwise process information outside the UK. Where a restricted international transfer takes place, we use a lawful transfer mechanism, such as UK adequacy regulations or appropriate contractual safeguards, including the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, as applicable.

You can contact us to ask which international transfers apply to your information and how to obtain details or a copy of the relevant safeguards, subject to necessary redactions to protect confidential information.

8. How long we keep information

We keep personal information for no longer than necessary for the purpose for which it was collected. We determine retention by considering the nature of the enquiry, whether discussions or a customer relationship are ongoing, any legal record-keeping requirements and the time needed to address complaints or legal claims.

Enquiry records and correspondence are kept while we handle your enquiry and for a proportionate period afterwards where needed for follow-up or to retain a record of our response. If an enquiry becomes a sale, relevant records may be retained for the contract, aftercare and applicable legal requirements. We review records and delete or anonymise information when it is no longer needed.

Marketing contact information is kept while we have an appropriate basis to contact you. If you opt out, we may retain the minimum information necessary on a suppression list to respect that choice. Cookie and browser-storage durations are described in our Cookie Policy; information already linked to an enquiry is managed under the enquiry retention criteria above. Backup copies are removed through the applicable backup replacement cycle and are subject to access restrictions.

9. Keeping information secure

We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, alteration or disclosure. Access is limited to people and service providers who need it for their work. No website or method of electronic transmission can be guaranteed completely secure.

10. Your data protection rights

Depending on the circumstances and lawful basis, you may ask us to provide access to your personal information, correct inaccurate or incomplete information, erase information, restrict its use, or provide information you supplied in a portable format. Some rights are subject to legal conditions and exemptions.

Your right to object. You can object to processing based on legitimate interests for reasons relating to your particular situation. You have an absolute right to object to use of your personal information for direct marketing, including related profiling. We will stop using your information for those marketing purposes when you object.

Where we rely on consent, you can withdraw it at any time. Use Consent Preferences for optional website tracking, use the unsubscribe option in marketing messages, or contact us. Withdrawing consent does not affect the lawfulness of earlier processing.

To exercise your rights, contact us using the details in section 1. Requests are normally free of charge. We may need information to verify your identity. We normally respond within one month; where the law allows an extension or a different calculation of the response period, we will explain this to you.

11. Complaints

If you are concerned about our use of your information, please contact us so we can investigate. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator, at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113.

12. Changes to this policy

We may update this policy to reflect changes to our services, technology or legal requirements. We will publish the updated policy on this website and revise the date above. Where required, we will give additional notice or request consent before using your information for a new purpose.
